We developed a custom CRM platform for a life coach that streamlines client management, scheduling, and content delivery through automation and AI-enhanced workflows. This all-in-one system handles appointment booking, personalized communication, and sales of digital products integrated in one place. By integrating smart features like AI chat-bots and voice automation, the platform delivers highly personalized client experiences at scale.

Challenge, approach, and impact

Manual Client Management

The client relied on outdated system to track client records, session histories, and treatment plans. This approach was slow, prone to errors, and made it difficult to ensure consistency and accuracy in client engagement.

Inefficient Scheduling Processes

Appointment management was cumbersome, requiring significant manual effort to coordinate session schedules. This often resulted in scheduling conflicts, missed appointments, and additional administrative burdens.

Limited Tools for Progress Tracking

Without automated systems, monitoring client progress over time was challenging. This lack of detailed tracking hindered the ability to provide personalized, data-driven therapy plans, ultimately impacting the quality of client care.

Disjointed Client Pipeline

Leads and client information were scattered across emails, social messages, and spreadsheets. Tracking each prospect’s journey – from initial inquiry to booking and follow-up – was inefficient, leading to missed opportunities and inconsistent follow-ups.
